What we collect and why
When you contact us. If you use a form on this site or email us, we receive your name, email address and whatever you choose to tell us. We use it to reply and, if you want to work with us, to discuss that. Our lawful basis is our legitimate interest in responding to enquiries, or taking steps at your request before entering a contract.
When you book a call. Bookings are made through Google Calendar. We receive your name, email address, the time you chose and anything you add to the booking, and we use them to hold the call. Same lawful basis as above.
When you become a client. We keep contact details, correspondence, contracts and invoices to deliver the work and to meet our legal obligations, including tax and accounting record-keeping. Our lawful bases are contract and legal obligation.
When you visit the site. Our website platform, Squarespace, records anonymous usage information such as pages viewed, approximate location, device and browser, and where you came from. We use it to understand which pages are useful. Non-essential cookies are only set if you accept them in the cookie banner. Our lawful basis is consent for non-essential cookies and legitimate interest for essential site operation.
We do not sell personal information, and we do not use it for advertising.
Who we share it with
We use a small number of service providers who process data on our behalf:
Squarespace, for the website, forms and site analytics
Google Workspace, for email, calendar and video calls
Our accountancy software and accountants, for invoices and statutory records
Some of these providers store data outside the UK, including in the United States. Where that happens, the transfer is covered by UK adequacy arrangements or the provider's standard data protection contract terms.
We will also disclose information where the law requires it.
How long we keep it
Enquiries and booking details that do not lead to work: up to 12 months, then deleted.
Client records, contracts and invoices: six years from the end of the financial year they relate to, as UK tax law requires.
Website analytics: as set by Squarespace's retention settings.
Your rights
You can ask us to give you a copy of the information we hold about you, correct it, delete it, restrict or object to how we use it, or transfer it to someone else. Where we rely on your consent, you can withdraw it at any time. Email info@dbutekworx.com and we will respond within one month.
If you are unhappy with how we have handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
